TerrainIntent respects your privacy. This Privacy Policy explains what information may be collected when you use this website, submit a voice check-in, complete a baseline intake, request a TerrainIntent service, or communicate with us.

1. Information we may collect

We may collect information you choose to provide, including:

• Your phone number, if provided
• Your selected service level
• Your voice check-in file, if you choose to send one
• Your baseline intake responses
• Your Energy / Recovery / Flow scores
• Your written notes, goals, observations, and supporting context
• Payment confirmation information from Stripe

TerrainIntent does not require you to submit information you are not comfortable sharing. Please do not submit emergency information or information requiring urgent professional care through this website.

2. Voice check-ins

If you record a voice check-in in the browser, the recording stays in your browser unless you choose to send it. TerrainIntent receives the voice file only after you review it, accept consent, and click the send button.

If you upload an existing audio file, TerrainIntent receives that file only after you choose the file, accept consent, and submit it.

3. How we use information

We may use the information you provide to:

• Review your submission for service fit
• Prepare a Terrain Guide Reflection
• Prepare a Terrain Map Review
• Provide Guided Terrain Mentoring if requested
• Respond to your questions
• Send payment links, confirmations, and service emails
• Improve the TerrainIntent process and client experience

4. Payments

Payments are processed through Stripe. TerrainIntent does not store your full credit card number. Stripe may collect and process payment information according to its own privacy and security practices.

5. Email delivery and manual workflow

TerrainIntent currently uses a manual concierge workflow. Voice check-ins, baseline intake submissions, payment confirmations, and written reviews may be handled through email and manual client tracking.

6. Data sharing

TerrainIntent does not sell your personal information. Information may be shared only with service providers needed to operate the service, such as website hosting, email delivery, file handling, or payment processing.

7. Data retention

TerrainIntent keeps information only as long as reasonably needed to provide the service, maintain records, improve the client process, or comply with legal, payment, or administrative requirements.

Raw voice files may be deleted when they are no longer needed for review, unless a longer retention period is required for service continuity, documentation, or legal/payment records.

8. Your choices

You may contact TerrainIntent to request:

• Access to information you submitted
• Correction of inaccurate information
• Deletion of information where reasonably possible
• Clarification about how your submission is used

9. Security

TerrainIntent uses reasonable administrative and technical steps to protect submitted information. No internet-based system can be guaranteed completely secure, so please avoid sending urgent, highly sensitive, or emergency information through the website.
